Custom Tent Development: The Full Process and Timeline

The number one reason buyers hesitate to commit to a custom tent project is not price — it is uncertainty about how the process actually works and how long each step takes. Here is the complete timeline we run at TentPro, stage by stage, with no black boxes.

Stage 1 — Inquiry and feasibility (1–3 days)

Send us whatever you have: a full tech pack, a competitor sample photo, or simply “a 4-person tunnel tent for the German market at this price”. A dedicated engineer — not a salesperson reading a script — reviews feasibility and replies within 24 hours with a quotation and a technical proposal. If you are sharing proprietary designs, we sign an NDA first; your IP protection terms are agreed before any files move.

Stage 2 — Design and sampling (7–14 days)

This is where the product becomes real.

  • ODM route: our R&D team creates design sketches and 3D renders based on your requirements — capacity, season, price point, target market. You approve the direction before anything is cut.
  • OEM route: we review your tech pack line by line, flag manufacturability issues, and confirm materials and cost.

Then we build a prototype with fabric swatches and colour options, followed by a pre-production sample made with the exact materials, colours and packaging of the bulk order. Once you sign it off, that sample becomes the “golden sample” — the binding reference for mass production.

Stage 3 — Mass production (25–45 days)

From MOQ 200 units per model. During production your order passes four inspection gates:

  • IQC — incoming materials: fabric, poles, zippers, webbing checked against spec.
  • IPQC — in-process checks on each line.
  • FQC — finished-tent inspection: assembly, pitch test, water checks.
  • OQC — outgoing inspection before packing.

You receive weekly photo updates from the line — you see your tents being made, not just an invoice at the end.

Stage 4 — QC and shipping

Final inspection at AQL 2.5, with a batch QC report issued for every shipment. Packaging follows your spec — including Amazon FBA-ready labelling and box prep. Shipping runs EXW, FOB or DDP, your choice.

The whole timeline at a glance

Stage What happens Duration You provide
1. Inquiry Quote + technical proposal 24 h reply, 1–3 days total Specs, target price, quantity
2. Sampling Prototype + PPS 7–14 days Feedback and sample approval
3. Production Full run, 4 QC gates 25–45 days Deposit
4. Delivery AQL 2.5, QC report, ship Per incoterm Balance payment

What slows projects down (and how to avoid it)

  • Incomplete tech packs — every missing spec becomes a question-and-answer round. The checklist above is your accelerator.
  • Late packaging decisions — FBA box dimensions and labels should be fixed at PPS stage, not after production.
  • Sample revision loops — normal and healthy, but budget 1–2 rounds in your plan.
  • Peak season — book production capacity early; we schedule by deposit date.

Frequently asked questions

What is the fastest possible sample?

Seven days when your project is a variant of one of our 200+ existing private-mold platforms. Fully custom designs take the full 7–14 day window.

Can production be rushed?

Yes, when the schedule allows — with a surcharge agreed upfront. Ask at order time, not mid-production.

Ready to spec your tent project? Send us your requirements — target price, quantity and timeline — and you will get a quotation with a technical proposal within 24 hours.
